Dealstack is a SaaS platform that powers private equity. Our goal is to end these outdated practices and to become the new collaboration standard in the industry. Founded by experienced professionals from within the industry, our solution sits at the intersection of SaaS, fintech and legaltech.  Dealstack has an ambitious, multi-product roadmap. The first product went live in 2023, allowing private equity professionals to easily onboard and maintain investment programmes. As our business expands and priorities increase, we are looking for an Executive Assistant. The objective of the role is to provide comprehensive administrative support to Executive/CEO/Leadership Team and Operations.

The role presents an exciting opportunity to join a high-growth tech, London-based company delivering innovation to a fast-moving and demanding industry. The Executive Assistant will play a pivotal role in ensuring the effectiveness of the Executive/CEO/Leadership Team by providing high-level administrative and operational support. Additionally, this role will be a support to the Operations team. Acting as a strategic partner, the EA manages day-to-day priorities, facilitates communication, and supports decision-making processes. This role requires a trusted professional who thrives in dynamic environments, demonstrates exceptional organizational skills, and consistently upholds confidentiality and discretion.

What job involves

Executive Support

Proactively manage a few people’s complex calendars, including scheduling, rescheduling, and prioritizing meetings across time zones. This includes mainly the CEO and the Commercial team.

Coordinate logistics for internal/external meetings, board sessions, and special events.

Prepare executives for meetings by compiling briefings, reports, talking points, and presentation materials.

Anticipate the executive’s needs and take initiative to ensure seamless operations.

Communication & Liaison

Serve as a gatekeeper and first point of contact for the executive, managing inquiries with professionalism and sound judgment.

Draft and proofread high-level correspondence, reports, presentations, and memos.

Maintain strong working relationships with internal teams, board members, clients, and external partners.

Represent the executives with professionalism in both written and verbal communication.

Operations & Project Coordination

  • Manage travel arrangements, including itineraries, visas, accommodations, and expense reporting.

  • Track deadlines, priorities, and deliverables, ensuring projects move forward smoothly.

  • Coordinate cross-functional initiatives and assist with strategic projects as directed by the executive and Operations Manager.

  • Building and refining processes across finance, HR, compliance, and cross-functional workflows.

  • Implement and maintain systems for document management, filing, and knowledge sharing.

Confidentiality & Governance

  • Handle sensitive information with the highest level of discretion.

  • Support executive governance processes, including preparing board packs, recording minutes, and following up on action items.

  • Ensure compliance with internal policies and relevant regulations when handling documentation and records.

Qualifications

  • Bachelor’s degree in Business Administration, Communications, or related field (or equivalent experience).

  • Minimum 3-5 years of experience in an Executive Assistant, Personal Assistant, or senior administrative support role.

  • Demonstrated ability to support C-level executives, board members, or senior leadership.

  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and digital collaboration tools (e.g., Teams, Zoom, Slack).

  • Excellent organisational, problem-solving, and multi-tasking skills.

  • Excellent English, strong written and verbal communication with an eye for detail and tone.

  • Ability to remain calm, resourceful, and solutions-focused in fast-paced, high-pressure situations.
